Privacy Policy

Pilot is the operating system for the oversized-load escort industry — a marketplace that connects hirers (freight brokers, carriers, and dispatchers) with pilot car and escort vehicle operators (PEVOs). This policy explains what we collect, why, how we store and protect it, who we share it with, and the choices and rights you have. We wrote it to be specific to how the product actually works rather than to be generic.

Data we collect and why
We only collect what the product needs to verify pilots, run the marketplace, move payments, and record routes. Specifically:
- Verification documents and personal identifiers. To issue the verified badges that make Pilot trustworthy, pilots upload documents and photos — pilot/escort certifications, insurance certificates, driver’s licenses, W-9 tax forms, and vehicle photos. We extract fields from these documents (such as issuer, license or policy number, and expiration date) to speed up review, and a Pilot administrator verifies them. We use this data solely to confirm eligibility, display verification status, and track expirations — not to advertise or profile you.
- Contact and account information. We collect your name, email address, and phone number to create and secure your account and to sign you in. Companies (carriers and brokers) may provide business identifiers such as MC# and DOT#. Pilots who are first reached over SMS may have a “shadow” account created from a phone number alone, which they can later claim and complete.
- Payment information (via Stripe). Payments on invoices are processed by Stripe. See the Payments section below for exactly what Stripe handles versus what Pilot stores.
- Location (only when relevant). See the Location section below. We do not track your location in the background except during an active route survey you have started.
- Loads, bookings, invoices, and signatures. When you post or accept work, we store the load details, booking, invoice line items, amounts, and the on-glass signatures captured at the job site.
- Messages. Messages you send in a job-scoped thread are stored so both parties can see the conversation for that booking. Pilot does not host open forums or public comment threads.
- Ratings and feedback. After a completed booking, hirers and pilots can leave structured, two-way ratings (for example professionalism, punctuality, equipment, and payment speed). Any free-text feedback goes privately to Pilot administrators and is not published.
- Basic technical and usage data. To operate the service, keep it secure, and diagnose errors, we process standard technical information such as device and app version, log data, and — if you consent — error diagnostics.
Phone numbers and SMS messages
We use your phone number to sign you in and to send transactional notifications about your work on Pilot — for example, a link to fill out or sign an invoice, a load alert, a booking notice, or a payment confirmation. These are service messages tied to your activity; we do not sell your number or use it for third-party marketing.
SMS is consent-based. You are asked to opt in before we send SMS, and you can opt out at any time by replying STOP to any message; reply HELP for help. Opting out of SMS does not delete your account — you can still use the app and email. Standard message and data rates from your carrier may apply. Your consent to receive SMS is not shared with third parties or used for any purpose other than delivering the Pilot service.
Payments (Stripe)
Pilot uses Stripeto process in-app payments on invoices and to pay pilots out through Stripe Connect. When a hirer pays an invoice, card and bank details are collected and processed directly by Stripe under Stripe’s own privacy policy. Pilot does not store full card numbers or bank credentials.
What Pilot stores is limited to references and results needed to run the marketplace: Stripe account and payment identifiers, the amount and status of a payment, and payout state. To be paid, pilots complete Stripe’s onboarding, and Stripe collects the identity and financial information it requires for that. See Stripe’s privacy policy for how Stripe handles that data.
Location during a route survey
Pilot collects precise location in two narrow situations, and never for advertising or continuous tracking:
- While you use the app (foreground), with your permission, to show loads near you and sort the board by distance. You can decline this and filter by state instead.
- In the background, only during an active route survey. When you start recording a route survey, Pilot records GPS breadcrumbs of the drive — including with the screen off — so it can build the surveyed route and let you pin hazards. Background collection runs only for the duration of that survey and stops when you pause or finish it. Pilot does not track your location at any other time.
How we store and protect your data
Documents and media are stored in private object storage, encrypted at rest, and are never publicly listable. They are served only through short-lived, signed (presigned) URLs generated for an authorized request — there are no permanent public links to your documents. All traffic to Pilot is encrypted in transit over HTTPS/TLS.
Access is limited. Pilot administrators can review documents strictly to perform verification and support, and every administrative action that changes data is written to an append-only audit log. We do not impersonate users or log in as you.
How we share data
We do not sell your personal data and we do not share it with advertisers or data brokers. We share data only as needed to run the service:
- Between marketplace parties. When you book work, the necessary details are shared with the other party to that job — for example a pilot’s verified badges and contact method, or a load’s details and the resulting invoice and signatures.
- Service providers. We use vendors that process data on our behalf, including Stripe (payments), our authentication and messaging providers, and our hosting and error-monitoring infrastructure. They may only use the data to provide their service to Pilot.
- Reputation is structured only. Ratings shown on profiles are structured scores tied to completed bookings; free-text feedback is never published publicly.
- Legal. We may disclose data when required by law or to protect the safety and rights of users and the public.
Data retention
We keep your data for as long as your account is active and as needed to provide the service. Verification documents are retained while they support an active badge and its expiration tracking. Invoices, payments, and their records may be retained longer where we are required to for tax, accounting, dispute-resolution, and legal-compliance reasons. When data is no longer needed for these purposes, we delete or de-identify it.
Your choices and rights
You can:
- Access and export your records. You can view your profile, documents, invoices, and bookings in the app, and export your invoice history (including year-end PDF and CSV bundles).
- Request account deletion. You can request deletion of your account from Settings in the app, or by emailing us at privacy@brainiacjack.ai. An administrator processes the request; some records tied to completed payments may be retained where required by law, as described above.
- Control notifications. You can manage which notifications you receive per channel, and opt out of SMS at any time by replying STOP.
Children
Pilot is a tool for professional operators and businesses and is not directed to children. We do not knowingly collect personal information from anyone under 18.
Changes to this policy
We may update this policy as the product evolves. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you in the app.
